Job Title: Office Manager – Interior Design Company

Job Summary: We are looking for a highly organized, proactive, and detail-oriented Office Manager to oversee the daily operations of our interior design studio. This role requires a multi-skilled professional who can manage office administration, procurement, inventory, basic finance, vendor relations, and team coordination — ensuring that both the creative and operational sides of the business run smoothly.
Key Responsibilities
Administrative & Office Management
- Oversee daily office operations, ensuring a clean, efficient, and well-stocked workspac
- Maintain office filing systems (digital and physical) for drawings, invoices, contracts, etc.
- Manage studio schedules, appointments, and calendars
- Coordinate communication between team members, clients, and external parties
Procurement & Vendor Coordination
- Source, negotiate, and purchase furniture, materials, finishes, and décor items as per design team specs
- Build and maintain relationships with suppliers, artisans, and contractors
- Track order deliveries, ensure quality control, and manage returns or replacements
- Monitor vendor performance and keep updated contact and pricing databases
Inventory & Logistics
- Manage and track inventory of materials, samples, furnishings, and office supplies
- Maintain a physical or digital inventory log and generate regular stock report.
- Coordinate deliveries to project sites and client locations
- Ensure safe and organized storage of products and samples
Finance & Bookkeeping
- Prepare basic financial reports (expenses, petty cash, budget tracking)
- Support invoice preparation, billing clients, and follow-up on payments
- Liaise with the finance/accounting team on payroll, tax submissions, and reconciliations
- Monitor operational expenses and report variances against the budget
HR & Team Coordination
- Support onboarding and orientation of new staff
- Help enforce studio policies and culture
- Maintain employee records, contracts, and leave calendars
Required Skills & Qualifications
- Bachelor’s degree in Business Administration, Finance, Supply Chain, or related field
- 3+ years of experience in office management, preferably in a design, architecture, or creative studio environment
- Strong organizational and multitasking abilities
- Knowledge of procurement and vendor management processes
- Working knowledge of accounting software (e.g., QuickBooks, Xero) and MS Office Suite
- Excellent communication, negotiation, and problem-solving skills
- Familiarity with design-related products (furniture, fabric, finishes) is a strong advantage
